Start with your guest list

Count the people who will actually spend the day at the resort, including adults accompanying children. A birthday for two families who want lunch by the pool is a different occasion from one with a long guest list and shared party food. Write down how many children are under 2, how many are ages 2 to 12 and how many guests are 13 or older. This gives you the right numbers for comparing the day pass option with the party package before you choose.

What comes with the party package

The birthday package lists three trays of party snacks, two large pitchers of fresh juice, one fresh fruit tray and a decorative floral foam centerpiece. Think about how you will serve those items. A group arriving together might share the snacks first and save the fruit for later. If people are arriving at different times, tell them when you plan to gather for the cake. Guests can order additional food and drinks. The trays are a specific selection, not an unlimited restaurant menu.

When the day pass is the better fit

For a smaller celebration, consider reserving a day pass and letting everyone order from the menu. The pass runs from 9 am to 9 pm. Adults pay USD 15 and children ages 2 to 12 pay USD 10. Children under 2 enter free. For two adults and two children in that age range, the passes total USD 50, which goes toward food and drinks for the visit. Any extra consumption is paid separately. Unused credit expires on the day of the visit.

Plan the table as well as the activities

Choose a meeting place that is easy for guests to find when they return from the pool. If you are reserving a cabana through the day pass form, enter the date and the full group before choosing your space. Available spaces change with the date. If two families would like to sit together, review the map before paying. The space is confirmed after payment is verified. If the guest count changes, check the seating plan again rather than assuming the original choice fits everyone.

Give children and adults a shared plan

The splash area has fountains and a tipping barrel, and the resort has a main pool and waterslide. Pick an adult to supervise the children in the water and agree on who takes over if that adult goes to the table. Older guests may want time at the skatepark or a game on the volleyball court. Set a time for everyone to return for food and cake. A celebration works just as well when some guests prefer to sit and talk instead of joining every activity.

Bringing a cake and adding something special

You are welcome to bring your own birthday cake without an extra cake charge. Ask where to set it up when you arrive, particularly if the group wants to visit the pool first. For an activity beyond the pool, ask reception about the climbing wall. The published price is USD 10 plus tax per adult and USD 5 plus tax per child. If a guest wants a surf lesson, that is a separate outing to Remanso. It is not part of the birthday food package.

Turn a party into a family stay

For guests who want to stay overnight, start with the number of people sleeping at the hotel, not the total number coming to the party. A standard room suits up to two. A condo with two queen beds or a villa accommodates up to four. Two families of four can compare two units for their dates. Direct room bookings include breakfast. Check in starts at 2 pm and checkout is at noon. The day pass hours are separate from the time your room becomes available.

Before inviting everyone

Decide whether your invitation is for the day, an overnight stay or both. Give each family the meeting place, the plan for lunch and the time you want everyone at the table. If guests are travelling from town, organize their rides independently. Surf Ranch does not run a shuttle to or from San Juan del Sur town. If relatives are flying into Managua, the resort’s airport transfer is a separate service that can be planned around their flight and passenger count.
