A family reunion in San Juan del Sur
Plan a reunion for grandparents, parents, children and day visitors with a worked example for ten guests and one shared lunch.
Start with households and beds
Picture ten overnight guests: two grandparents and two households of four, each with two adults and two children. Start with a standard room for the grandparents and two condos for the households. Each condo has two queen beds. Swap a condo for a two-bedroom villa if separate sleeping spaces matter more to that family.
List actual sleepers beside each bed. If the grandparents want twin beds, confirm the available configuration for those dates. Ask about walking distances and room access for anyone who needs a shorter route. Check all three units for the same nights before collecting contributions.
Friday arrival, Saturday lunch, Sunday departure
Friday: check in from 2 pm and let each household settle before dinner. Saturday: eat breakfast, assign an adult to supervise the children at the splash pad and set one lunch meeting time for everyone. Confirm seating with reception before sending the time and place to relatives.
Keep Saturday afternoon open: one household can return for a nap while another plays volleyball or spends more time at the pool. Sunday: breakfast, pack and check out by noon. Agree on transport by household so relatives leaving early can depart without waiting for the full group.

When relatives are coming for lunch only
Keep overnight bookings and day visitors in separate lists. If two more adults and two children aged 2–12 reserve a day pass, they prepay US$50 in food and drink credit. Check the map for seats for those visitors and discuss a shared lunch setup for the whole reunion with reception.
Send one organizer’s name, dates, adult and child counts, number of beds and any mobility needs. Specify which households want breakfast included or all-inclusive. If relatives change plans, update the headcount before promising a final room split or total.
