For ten students and one teacher, list eleven practice places. Count mats, blocks, straps and any blankets you plan to use. Ask which items are available onsite and which your group should bring.

You lead the practice. Reception can review dates, rooms, meals and a request for workshop space. Send the details that determine whether your class will fit comfortably before announcing the retreat to your students.
PLANNING NOTES
Describe your largest class by head count, session length and setup. A seated discussion, a restorative practice with props and a class moving between standing poses need different amounts of floor space. Ask reception which area is available, when it can be used, whether it is private and what happens if weather changes the plan.

If guided relaxation needs a quieter setting, give reception your preferred start and finish times. Ask about access by other guests during that window before promising silence or exclusive use.

Let reception know whether participants will work in pairs, move around the room or stay on their mats. Include breaks between sessions so the group can eat and reset the space.
PLANNING NOTES
Check-in starts at 2 pm. Collect arrival times first and schedule the opening circle once the final transfer is expected. Tell late arrivals where to find you without interrupting the group.
If you want to lead a morning class, confirm your space and time first. Breakfast runs from 8 to 10 am. Fit the session around that window, then leave a separate afternoon block for a workshop or unstructured pool time.
Check-out is by noon. If several students leave early, move the final group reflection to the previous evening. Share flight groups with reception when requesting transfers.
PLANNING NOTES
Ask each student whether they want their own room, bedroom or bed. A standard room sleeps up to two, a condo has two queen beds for up to four, and a villa has two bedrooms for up to four. Count the instructor’s room too. Choose breakfast, additional meals or an all-inclusive request based on where the group will eat.
In the retreat planner choose Yoga / Wellness. Include your own instructor, expected class sizes, equipment list, meal needs and per-person budget for the whole stay. Ask for a reply with available dates and terms before collecting payments.
